1. Event Overview
The Rotaract European Meeting (REM) is scheduled to take place from January 23 to January 26 2025, in Prague. REM is recognized as the second largest Rotaract event within the Rotary year in Europe, attracting an estimated 450 participants. This four-day event encompasses conference sessions, thematic workshops, charitable projects, a diverse cultural program, guided tours, concerts, memorable social activities, and a Gala on Saturday evening.

2. Registration Processes
The registration process for REM is streamlined through our integrated Tickettailor platform, a robust online event registration software. Tickettailor offers a simple, reliable solution for event organizers, ensuring a seamless user experience, secure data handling, and overall reliability. The registration and cancellation processes are uniform for both PRE REM and POST REM events, providing a consistent and user-friendly experience. Participants have the flexibility to register for extra activities directly through the Tickettailor platform.

3. Payment Policies
Following successful registration on our integrated Tickettailor platform, the package value will be securely transacted to the REM 2025, z.s. a separate entity for REM Prague purposes.

How to Pay

4. Cancellation Policies
Purchased packages for the conference are non-refundable. Participants have the option to resell their packages to other Rotaractors interested in making a purchase.

5. Accommodation
The primary accommodation venue is Vienna House by Wyndham Diplomat Prague, serving as the central location for conference activities. Accommodation for CR’s, ERIC Board, +1’s and everyone who bought a package with accommodation is exclusively hosted at the main hotel.

6. Extra Activities
Participants are encouraged to enhance their REM experience by registering for extra activities directly through the Tickettailor platform.

7. Code of Conduct
Respectful Behavior
All participants, including Rotaractors, Rotarians, event staff and everyone else participating in the event are expected to treat each other with respect and courtesy. Harassment or discrimination based on race, gender, sexual orientation, nationality, or any other characteristic will not be tolerated.
Professionalism
Maintain a high level of professionalism in all interactions, including conference sessions, workshops, social activities, and online discussions.
Diversity and Inclusion
Embrace diversity and promote an inclusive environment. Be mindful of different perspectives and backgrounds, fostering a community that values everyone’s contributions.
Harassment Policy
Harassment, including offensive comments, unwelcome advances, and any form of discrimination, will not be tolerated. If you experience or witness harassment, report it immediately to designated event staff.
Compliance with Laws
Adhere to all local and international laws and regulations throughout the conference.
Use of Conference Materials
Respect the intellectual property rights of presenters and organizers.
Social Media Guidelines
If sharing content on social media, be respectful and considerate of others’ privacy. Avoid sharing sensitive or confidential information.
Consequences for Violations
Violations of the Code of Conduct may result in expulsion from the conference without a refund. The organizing committee reserves the right to take appropriate action based on the severity of the violation.
Reporting Mechanism
Report any Code of Conduct violations promptly to designated event staff. A confidential reporting mechanism will be provided for this purpose.
Acknowledgment
By registering for the Rotaract European Meeting, participants acknowledge that they have read, understood, and agreed to abide by this Code of Conduct.

8. Intellectual Property Considerations
Ownership of Conference Materials
Presenters retain ownership of their intellectual property, including presentations, workshops, and any other materials shared during the conference.
Publication of Conference Proceedings
The organising committee reserves the right to publish conference proceedings, including presentations and abstracts, for educational and promotional purposes.
Questions and Permissions
If unsure about the use of intellectual property, seek clarification from the organising committee. Obtain explicit permission before using or sharing any conference-related materials.

9. GDPR Compliance
By participating in REM, attendees acknowledge and agree to the processing of their personal data for event-related purposes. The organising committee ensures GDPR compliance in handling and protecting participant information.

9. Photography and Media Consent
By attending REM Prague, you acknowledge and agree that photographs, video recordings, and/or audio recordings may be taken during the event. These materials may be used for promotional, marketing, or documentation purposes by REM 2025, z.s. in print, digital, or online formats. By entering the event premises, you consent to the capturing and use of your image and/or voice in such media without any compensation or further notice.If you do not wish to be photographed or recorded, please inform the event organisers upon arrival.

10. Consent for Data Sharing with Third Parties
By registering for this event, the participant agrees that their personal data provided in the registration form will be used by the organizers to ensure the smooth operation and organization of the event. This includes, but is not limited to, providing services, enhancing participant experience, and addressing specific requests. The participant understands and consents to the possibility that their data may be shared with third parties involved in the event's organization when necessary, and that some of these third parties may contact the participant directly. Personal data will only be shared to the extent required to facilitate the event. Additionally, organizers may share personal information with emergency services, law enforcement, or in compliance with legal obligations, without requiring further consent from the participant.

Failure to comply may result in consequences determined by the organising committee.
